We have an opening for an Secretary cum Admin at Birla Open Minds at Churchgate, Mumbai
Job Location:
Churchgate, Mumbai
Job Description for Position: Secretary cum Admin
- Maintaining diaries and arranging appointments
- Preparing and collating reports
- Organising and servicing meetings (producing agendas and taking minutes)
- Prioritising work as per deadlines
- Liasing with various departments
- Logging or processing bills/expenses
- Taking care of travel management for the entire group as per policy
- Visitor management to be taken care of along with guest arrangements (food, travel, etc.)
- To oversee and arrange for repair work, hygiene and cleanliness of the facility
- Supervise housekeeping and peon staff
- Renewal of AMC's and Contracts (Pest Control, Canteen, Telecommunication, Xerox Machine, Support staff, Courier, AC, New Vendors, etc.)
- Prepare regular MIS reports on expenses and office budgets
- Arrangement of eatables/tea/coffee or any other requirements for employee engagement activities
- Booking meetings or appointments with the Director according to his Calendar with HODs, other team members or external parties.- Creating a daily schedule for the Director based on meetings, tasks or other agendas.
- - Collecting grievances, tasks or suggestions from the team or external stakeholders and collating and presenting them to the Director as and when they arrive.
- Office repairs, maintenance and hygiene and other administrative duties.
Desired Candidate Profile:
- Sound knowledge of office procedures
- Experience with office management software like MS Office (MS Excel and MS Word, specifically)
- Strong organization skills with a problem-solving attitude
- Good presentation, communication and interpersonal skills
- Exhibits self-motivation, high work standards and attention to detail
- Possess a Bachelors Degree or equivalent
