Roles and Responsibilities

Role Description:

Support Regional Operations for Purchase of material and services.

Key Responsibilities

Inflation Control:

Sourcing for IFM contract involving all spheres of business like projects, AMC end to end management, Sourcing of F&B, Capex, White goods etc.

Introduction of innovations in the FM world month on month

Building vendor base and Back up in Pan India location in line with compliance requirements as specified by client

Floating of RFPs to get the best quality and pricing. Ensure timely delivery of projects.

Ensure timely delivery of projects, drive and lead the process from budgetary proposal submission to final invoice being raised to client.

Involve in vendor negotiation along with Category buyer, Timely negotiation and Gather market information by visiting wholesale, Retail Market.

Introduce new vendors to reduce monopoly of current vendors

Source from Upstream market

Forward alternate item advisory report to ops immediate after projected impact Focus on usage of alternate Item usage to get the savings.

Check the data for correctness to get the saving benefit

Give proper projections on monthly basis

Follow-up with vendors to get PI debit note sign off of monthly basis.

Ensure all PI debit notes are submitted to MIS and Finance to achieve target

Accuracy in updating Item and rate master in FsPro / Optimum

Check for all the alternate items are considered in t saving initiative data


Process Compliance

Enforce right purchase practice

100% Compliance to Systems, Process and Policies

On time closures of contracts, One Time Purchase Orders

Reduction of Provisions

100% vendor audits as per QHSE as per timeline

High risk vendors to be constantly engaged in QHSE upgrade plans.

Improvement in RM Quality Stds For FF&V and Dry grocery

FSSAI Compliance

Submission of Site issue tracker to all ops on time to time

Focus to close the issues well before target date

100% accurate rate updating in Fspro / Optimum

Ensure 100% sites are either on Fspro or on Optimum wherever applicable.

100% compliance to adhere to APL ( billing rate and Contract rate )

Analyse the cash purchase data, and identify high spend site

Set target to reduce the cash purchase High speed sites

Develop and introduce cash to credit vendor

Ensure 100% fill rate to avoid stock out situation

Site Support :

Monitor and focus to achieve 100% Fill rate as per Order

Follow-up with sites to get timely indents in case supplies from DC

Ensure proper projections are given to vendors to reduce stock out situation at vendors end.

Timely closures of the material request as per timeline

All vendors to sign-off SLA and understand the Specifications

Monitor delivery time and check TAT for the entire request.

Monitor vendors are following SLA -Dress code, hygiene standards, personal grooming and other Material Quality standards

Conduct Weekly calls with operations as per schedule

Understand the concerns and record it in Site issue tracker

Maintain and circulate Site issue tracker as per the timeline.

Close all the request as per target date and check for TAT Ensure adherence to 100% compliance to QHSE policy.

No supply of High risk items without approval from QHSE

Ensure proper SLA and Specifications followed by vendors

Team Building :

Regional team structure for better role clarity

Region head >> Leading team, Site support, Compliance control,

Non-food Support - Contracts and OTPO and all Trackers

Training on Systems - Optimum.Fspro

Increase Motivation level of team by proper support and guidance.

Reduce vendor payments issues

Qualifications:

100% vendor audits as per QHSE as per timeline

FSSAI Compliance

100% Compliance to Systems, Process and Policies

On time closures of contracts, One Time Purchase Orders

Reduction of Provisions


Exp- 8 to 10 years
