Shifts: General Shift ( Should be flexible for night shift) Responsibilities Manage vendors for equipment repairs, and other services to maintain seamless operations. Continuously learn, think proactively, and take the initiative to coordinate and align tasks for efficient execution. Ensure the office is a Great Place to Work by maintaining a safe, professional, clean, and cost-effective environment. Manage proactive and reactive maintenance tasks to keep facilities fully functional and compliant with safety and regulatory standards. Oversee Annual Maintenance Contracts (AMCs), ensuring timely renewals and adherence to service schedules. Conduct daily inspections to identify and address potential issues, maintaining high workplace standards. Respond to, track, and resolve employee requests via the internal ticketing system. Collaborate with IT and local leadership on workplace projects, ad hoc initiatives, and events. Partner with HR to support onboarding for new employees, foster a strong office culture, and provide additional support as needed. Support the transport coordinator and cover shifts as required, including transport allocation, route assignments, and communication with employees and transport providers. Ensure strict adherence to company transport policies and employee safety guidelines. Collect and analyze feedback to continuously improve transport services. Serve as the "office barometer," using strong emotional intelligence to interpret workplace dynamics and identify areas for improvement. Proactively engage with local leadership to address team needs and align workplace strategies. Communicate workplace guidelines and expectations effectively to employees. Assist the Workplace Manager by analyzing special reports, summarizing key information, and identifying trends. Help maintain a purchasing database to ensure adherence to operating budgets. Support or lead facility improvement and buildout projects. Monitor vendor relationships and performance to ensure project success. Undertake other duties as required, aligned with the nature of the role. Requirements: 4+ years of experience in Workplace and/or Transportation Administration/Coordination, along with proven expertise in workplace operations, facility management, and repair & maintenance, supported by a relevant degree qualification. Knowledge of hard services (HVAC, electrical, plumbing) and vendor management. Strong communication, problem-solving, and organizational skills. Ability to prioritize tasks, ensure quality service, and collaborate with cross-functional teams. Proficient user of technology as well as MS Office applications.,
