Job Summary: As an Experienced Medical Secretary with 2+ years of expertise, you will play a key role in ensuring the smooth running of our clinic. You will provide administrative support to manage patient communications, coordinate appointments, and assist with essential clerical functions while maintaining a high level of professionalism and confidentiality. You will be expected to handle a variety of tasks autonomously, providing efficient and effective service to both patients and medical staff. Key Responsibilities: Manage and schedule appointments for multiple healthcare providers, ensuring minimal disruption to the workflow. Efficiently handle appointment changes, cancellations, and rescheduling. Confirm patient appointments and send reminders, ensuring smooth patient flow. Greet and assist patients both in person and on the phone, addressing their inquiries and concerns professionally. Provide patients with pre-appointment instructions and ensure they understand follow-up care instructions. Maintain and update patient files and medical records in compliance with privacy regulations. Coordinate with billing teams to ensure proper coding and accurate claims submissions. Answer and direct phone calls in a timely and courteous manner, relaying messages to the appropriate staff or healthcare providers. Send and receive medical communications, including patient referrals, test results, and appointment reminders. Oversee day-to-day office operations, including managing office supplies, equipment, and maintaining inventory. Assist with patient check-in/check-out procedures to ensure efficient patient flow. Maintain a clean, organized, and welcoming office environment, ensuring compliance with health and safety regulations. Proactively handle medical documentation for patient care and follow-ups. Qualifications: High school diploma or equivalent required; an Associates degree or certification in Medical Office Administration, Health Information Management, or related field is preferred. At least 2 years of proven experience as a Medical Secretary, Medical Office Administrator, or similar role in a healthcare setting. Experience with scheduling software and patient management systems. Strong communication skills, both written and verbal, with an ability to interact effectively with patients, families, and healthcare staff. Strong organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment. Excellent attention to detail and accuracy when handling patient records, medical documentation, and billing information. Ability to handle sensitive and confidential information with discretion. Ability to manage multiple tasks and resolve scheduling conflicts.
