Duties/Responsibilities:
provides the Director and/or other designated senior employees with high-level administrative support and assistance.
Schedule meetings, appointments, speaking engagements, and travel (which may involve domestic and international travel) on the director's calendar. Use discretion when allocating time and determining needs.
Plan departmental meetings; help in assembling and distributing meeting materials and agendas.
Keep sensitive and private information private.
Attend meetings, record conversation, and write the preliminary draughts of the minutes and summaries.
Keep the directors informed of urgent and important matters, and ensure proper follow-up.
Receiving and screening the CIO's calls and visitors, politely and diplomatically responding to a range of inquiries, taking messages, and effectively routing calls for resolution are all part of this.
performs clerical and administrative duties for senior employees, such as writing letters, memos, invoices, reports, and other paperwork.
Organizes and participates in meetings on the executives' behalf, keeping minutes and taking notes.
receives incoming correspondence or memos on the senior staff's behalf, examines the material, assesses its value, and then distributes the content to the appropriate personnel.
does any additional tasks that the directors prescribe.
should keep track of customer information and prepare the essential client information prior to the meeting.
