Please find below the JD for Freight & Billing Administrator. We are looking for a candidate who has experience of handling freight billing for Domestic Logistics. Someone from the similar industry, proficiency in excel and immediately available for joining will be preferred.

OVERALL RESPONSIBILITIES:

The Freight & Billing Administrator will report to the Logistics Manager and will be responsible for several key activities related to billing and compliance, as well as vendor invoice dispute tracking. The Freight & Billing Administrator will work within the Freight & Logistics Unit performing Third-Party Logistic companies (3PLs)/Transportation invoice audits, tracking records through the approval process, and preparing, submitting, and collecting freight confirmations. He/she will also ensure the accurate electronic & hard copy filing in compliance with the applicable policies and regulations.

SPECIFIC RESPONSIBILITIES:

Invoice Audit, Processing and Filing:

Perform invoice audits of all 3PL invoices and submit to accounting for processing. This may include comparison of invoice to established criteria; processing of approvals; analysing and escalating issues identified in specific invoices, and following up to resolve and conceptualize solutions to avoid these issues in the future; managing invoices rejected during audit to ensure timely correction and re-submission for payment; and monitoring and evaluation of invoice variations against set targets.
Ensure all required invoices include proper source documents demonstrating proof of delivery.
Analyse, track, and report non-compliance for billing process improvement.
Maintain record-keeping systems and procedures for archival purposes and for the retention or destruction of records.
Manage all procurement, shipping, and invoicing electronic files within organizational standards.
Arrange the acquisition and retrieval of records.
Knowledge on TDS, G.S.T calculation
Claim processing, bills processing
vendor commercial accounting
Preparing MIS Data.

Communication:

Provide effective customer service to internal and external representatives in all areas of 3PL/Transportation invoice processes.
Initiate and follow up on resolution towards invoice disputes.
Coordinate and facilitate invoice status updates routinely with 3PLs, vendors, and Finance Unit members.
Other duties:

Conduct procurement file audits as assigned.
Assist F&L and Procurement Units with any other finance and administrative requests as and when required.
Conduct and/or support any invoice/payment related analysis, as necessary.
QUALIFICATIONS:

Bachelors degree (Accounts Preferred)
2+ years experience in billing auditing, administrative experience, preferably in the procurement and/or transportation industry (freight forwarding, supply chain management, etc.).
Good to excellent computer skills demonstrated proficiency in MS Office, intermediate level in Excel required.
Ability to quickly learn and effectively utilize proprietary business systems.
Ability to multi-task, work under highly fast-paced and pressured business environment and be deadline focused.
Excellent written and oral communications and attention to detail.
Ability problem solve and apply analytical skills.
Demonstrated ability to complete both daily tasks and long-term assignments successfully and on time.
Demonstrated ability working as part of a team, as well as independently, and with multi-disciplinary associates of all levels.
English fluency required including speaking, writing, understanding, and reading with the ability to conduct business in English.
Experience with Transportation Management System and Digital Bill Processing is a Plus.

Designation- Freight & Billing Administrator/Supply Chain

Working Hours: 9 am to 6 pm

Working Days: Monday to Friday

Job Location: - Powai, Mumbai Location

Tenure 1yr contract (May be extended based on performance)
