Ideal Candidate 5-10 Years as an Executive Assistant Excellent English language skills (Written / Oral) Experience in Email Management, Calendar, Travel booking, Coordination for conferences, events Organization A well established and fast expanding chain of Indian sweets outlets Role We are seeking a highly organized and proactive Executive Assistant/Secretary to provide comprehensive administrative support to the CEO of our client. The ideal candidate should possess exceptional communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment. The Executive Assistant/Secretary will play a pivotal role in maintaining smooth operations and facilitating efficient communication within the organization. Responsibilities Provide administrative support to the CEO, including managing calendars, scheduling appointments, and arranging meetings. Coordinate travel arrangements, including flight bookings, hotel accommodations, and. transportation arrangements. Prepare and edit correspondence, presentations, and reports as required. Act as the primary point of contact for internal and external stakeholders, including screening phone calls, emails, and visitors. Maintain filing systems, both electronic and physical, ensuring efficient organization and easy retrieval of documents. Assist in preparing agendas and taking minutes during meetings, as well as follow-up on action items. Handle confidential information with discretion and maintain confidentiality at all times. Assist in organizing company events, conferences, and seminars, including logistics, catering, and materials preparation. Perform general office duties, such as photocopying, scanning, filing, and mail distribution. Collaborate with other administrative staff to ensure seamless operations and support across departments. Undertake ad-hoc tasks and projects as assigned by the executive team. Requirements Proven experience as an Executive Assistant, Secretary, or similar role, preferably supporting senior executives. Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively. Strong interpersonal skills and the ability to communicate confidently and professionally with individuals at all levels. High degree of discretion and confidentiality, with the ability to handle sensitive information appropriately. Detail-oriented with a commitment to accuracy in all tasks. Ability to work independently with minimal supervision and as part of a team. Flexibility and adaptability to changing priorities and deadlines. Bachelor's degree in Business Administration, Secretarial Studies, or a related field is preferred. Additional certifications or training in office administration or executive assistance is a plus.
