for Manager - Admin

 

Position Title: Manager

Department: Admin 

Location: Ludhiana

 

Job Summary: The Administrative Manager will oversee and manage various functional departments including Administration, Security, Mess, Housekeeping, and Transport. The role entails ensuring efficient operations and compliance with standards across these departments while also taking responsibility for infrastructure and security services. The Administrative Manager will liaise with internal stakeholders, external agencies, and vendors to uphold organizational standards and protocols.

 

Key Responsibilities:

 Administration Department:

  • Monitor and manage all units.
  • Negotiate, obtain approval, clear, and pass bills.
  • Handle vendors and front office operations.
  • Maintain hygiene standards in the mess.
  • Manage visitor management processes.
  • Facilitate inter-departmental communication.
  • Resolve disputes and operational issues.

 Security Department:

  • Manage gate security and CCTV surveillance.
  • Oversee entry and exit procedures.
  • Maintain boundary walls and manage parking.
  • Liaise with external security agencies for contractual arrangements.
  • Uphold law and order among staff.
  • Ensure compliance with security standards.

 Mess Department:

  • Monitor and control budgetary compliance.
  • Maintain hygiene standards in the mess.
  • Supervise cook and mess staff.
  • Oversee purchases related to mess requirements.

 Housekeeping Department:

  • Eliminate waste materials.
  • Ensure cleanliness and maintain checklists.
  • Train and develop housekeeping staff.
  • Maintain grooming standards.

 Transport Department:

  • Manage transport operations.
  • Liaise with relevant authorities and transport agencies.
  • Maintain vehicle data and ensure legal compliance.
  • Uphold grooming standards for drivers.

 Other Responsibilities:

  • Plan and implement infrastructure and security services.
  • Prevent and investigate crimes.
  • Coordinate investigations and prosecute responsible parties.
  • Conduct internal and external audits.
  • Manage ceremonial event logistics.

 

Qualifications and Skills:

  • Bachelor's degree in Business Administration or related field (preferred).
  • Proven experience in administrative management roles.
  • Strong organizational and communication skills.
  • Ability to multitask and prioritize tasks effectively.
  • Knowledge of relevant laws and regulations.
  • Proficiency in MS Office Suite and other relevant software.
