Key Responsibilities:
1. Calendar Management: Schedule and coordinate appointments and meetings for Managing
Director. Proactively manage MDs calendars to optimize time and prioritize
important engagements.
2. Communication: Serve as a primary point of contact for internal and external
communications on behalf of the MD. Draft and edit correspondence, emails, and other documents as
needed.
3. Travel Coordination: Arrange complex domestic and international travel itineraries,
including flights, accommodations, and ground transportation. Ensure travel plans align with the executives' preferences and business
priorities.
4. Meeting Support: Prepare agendas, presentations, and necessary documents for
meetings. Attend meetings, take minutes, and follow up on action items.
5. Information Management: Maintain confidentiality and manage sensitive information with
discretion. Organize and maintain electronic and physical files.
6. Task Prioritization:
Prioritize and manage multiple tasks simultaneously, ensuring deadlines
are met.
Anticipate the needs of executives and proactively address them.
7. Relationship Building:
Build positive relationships with internal and external stakeholders.
Collaborate with other administrative professionals to enhance office
efficiency.
8. Project Support:
Assist with special projects and initiatives as assigned by the executives.
Coordinate with various departments to ensure project timelines are
met.
