Main Job Tasks :
- Provides general information to customers on services offered by the hospital.
- Directs the customer, patients, relatives and vendors to the appropriate departments or staff.
- Controls cost and expenditure related to department stationery, telephone usage as well as minimizes wastage of electricity and water.
- Takes responsibility and guides/assists Customer Care Assistants in execution of assigned tasks.
Responsibilities and Duties
Is responsible for Outpatients ;
- Registers patients, Screens patients and assigns to the appropriate consultants.
- Accompanies/directs patients to various departments/nursing stations.
- Ensures that bills are paid and medicines are collected.
Is responsible for Inpatients ;
- Admissions from OPD & ER / Emergency Admissions.
- Getting the consent form signed by the inpatient relatives.
- Explaining about visiting hours, passes, admission kit, valuables, tariff sheets, phone activation, cafe, nurse stations, folders, wrist band, room familiarization, provides important phone numbers etc.
- Provides information on top up deposits to customers and follows up and ensures that deposits are collected.
- Ensures all-In patients are met by self on a daily basis to obtain feedback.
- Contacts all patients admitted on every day basis in order to obtain direct feedback from patients.
- Explains the admission and discharge process to the patients/relatives.
- Maintains a Patient forward Appointment/Room Reservation System.
- At Health camps and clinics ensures active participation of team members and self.
- Reduces turnaround time for reports and ensures reports are given back as per set time.
- Assists in conducting/ organizing CMEs wherever required.
- Ensures that the NABH standardization process is in place as per the deadline.
- Assists the Finance Manager in debt collection and handling billing complaints.
- Ensures that all the procedures defined are implemented accurately which -include Admission & Discharge, VIP Welcome standards, Health Screen, Pre employment checks, Appointment scheduler, Room Allocation process etc.
Heath Screens ;
- Assists in the health check for corporate/non corporate personnel.
Other Tasks
- Compiles and monitors bed status reports.
- Reports any incidence that occurs at the facility to the Customer Care Manager.
- Ensure visitors adhere to the companies visiting hours.
- Arranges for baggage handling and other services requested by patients and relatives.
- Participates in educational programs and in-service meetings.
Required Candidate profile
- Graduate in any discipline.
- Minimum 1 year experience as Patient Care Relations or Customer Care Relations Assistant or Coordinator or Secretary in Clinical practices at Hospital.
- Should possess good verbal and written communications skills.
- Should be Computer Literate.
- Should possess strong analytical thinking and ability to handle multiple tasks concurrently.
- Excellent Customer Service.
- Compassion and Empathy.
- Manage and oversee our entire team of care providers.
- Communicate effectively with caregivers, clients, families, and other parties.
- Manage caregiver schedules and requests for time off.
- Manage all client schedules, ensuring care plans are being met
- Maintain accurate client documentation.
- Participate in/conduct caregiver training.
- Maintain compliance with all legal and company requirements at all times.
- Ensure that our clients are receiving the very best in care
- Willingly participate in night/weekend on-call rotation.
- Support caregivers, clients, and families by providing accurate information.
- Maintain a compassionate demeanor at all times
- Remain calm and collected in difficult situations
- See that all measures are taken to protect client privacy and dignity.
- Develop treatment/care plans and see that they are properly carried out.
- Document and report any issues or violations to upper management immediately.
- Make oversight visits to supervise and assess caregivers.
- See that client care charts/logs are maintained and monitor client progress.
- Work to foresee challenges and implement proactive solutions.
- Demonstrate ability to be a problem solver.
- Collect feedback to ensure client satisfaction.
- Provide information to prospective clients and follow up with them.
- Participate in interview, hiring, evaluation, and discipline processes.
- Preference would be given to local candidates / aspirants with Hospital / Clinics / Medical Center /Hotel / Aviation / Travel / BPO / Call Center experience.
