Job Description

Responsibilities for spa supervisor

Answering phones, booking appointments, checking guests in and out of the facility and completing all shift reports and paperwork
Responsible for operational duties related to spa retail
Train Spa staff by making sure staff has knowledge of product on the floor, coordinating with vendors/designers who can provide training and sales support, and coordinate with buying team to provide support in this area
Merchandising and maintenance of neat and orderly retail displays
Coordination of vendor set up, purchasing, and receiving as it pertains to the retail operation
Sourcing Product when applicable
Coordinating with buying team by provide sales information and guest feedback and partnering with buyers on trunk shows, promotions or sales contests for staff
Implementing new procedures for Spa Coordinators and Spa Attendants in order to improve productivity and service delivery in regards to the retail operation
Monitoring Spa Coordinator and Spa Attendant performance and providing feedback
Monitoring the guest areas of spa to ensure that the front desk, spa lounge, locker areas, and fitness facilities are at all times neat, orderly, and well stocked.

Completing as-needed special tasks deemed necessary by Spa Management in a timely manner
The ability to help in the process of interviewing and selecting job applicants supervise, discipline and give performance evaluations for your departments employees
The ability to schedule staff and complete payroll records in accordance with budgeted guidelines
The ability to be responsible for the administration of goods, requisitions, inventories, storage and cost effective usage of all department related materials and assets, according to standards to ensure for smooth operation
Work daily shifts in the Spa Front Desk, Spa Concierge and/or Spa Reservations
Ensure the overall smooth daily operation of the guest check in process at the Spa Front Desk and total overall guest experience
Develop, abide by and enforce standard operating procedures for Spa Front Desk, Spa Reservation and Spa Concierge staff
Leadership of all Spa Experience Coordinators
Maintain Spa cleanliness and organization in the front and back of house by reporting to appropriate persons on a timely basis
Assist in the development of weekly schedules for the Spa Experience Coordinators, (Spa Reservations, Spa Concierge and Spa Front Desk staffing.)

Assist with handling payroll duties with accuracy adhering to timelines
As a Spa Supervisor, you will assist the Spa Manager in overseeing
Responsible for overseeing the proper training, implementation, and set up for all spa front of house guest areas
Must provide assistance as the spa opens and continue to support the service staff once the spa is in operation
Will work to maintain excellent guest and vendor relationships for the spa and will uphold brand standards for services, products, protocols, and front of house staff support
They will also be responsible for ongoing training, support of linen and product inventory,and control procedures, quality control, site inspections, and future development according to the The Spa Standard Operating Procedures
Support in the hiring, training and managing of front of house staff to be accountable for their actions and to be conversant in the business objectives
Monitor activities and issues daily and shift by shift
The effective Spa Areas Supervisor will resolve guest challenges with helpful solutions and a bit of imagination, while being mindful of delivering consistent service.

Analyze the invoicing process to make it easier for staff to generate accurate invoices
Improve current procedures to make them more efficient for staff and departments across campus
Oversee and recommend improvements to the billing process for amounts due on all non-LOC awards
Provide regular reporting and analysis to CCO management on the status of unbilled expenses, aging of invoices, collections efforts, and overall unit performance
Establish benchmarks/metrics by different payment types through the collection and analysis of aging and various reports
Review and assist staff to review contracts and agreements for billing terms, billing and payment schedules, special billing requirements, compliance issues and assures that bills are prepared in compliance with contract budget, cost requirements and restrictions
Work with staff to maintain minimum balances in Accounts Receivables less than 150 days and Uniblled AR (UAR) account codes
Monitor the progress of projects with non-standard payment types
Analyze delinquent payments and discrepancies
