Job Description

Our company is involved in providing corporate services in different areas. Our company is a 30 yrs old established company, with a team size of approximately 1000 persons, promoted by experienced professionals & working with number of well-known companies.

  • Job Purpose / Brief of Job Role: A successful Administrative Assistant possesses structure, attention to detail, quality focus, smart, possess a "can-do" attitude, high energy and flexibility to a high-paced deadline driven organization. In this role you will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen and deliver flawless work output. Your daily routine also includes interaction with various executive level internal clients across the lines of businesses. As an Administrative Assistant, you will be responsible for performing an array of administrative functions requiring confidentiality, initiative and sound decision making for the executive, their team of managers, and other stakeholders. You possess superior communication skills, both written and oral. You are clear, concise and to the point. Your phone etiquette is excellent, and you have a sense of ownership to always follow-up when required. You know when to use tact and discretion when dealing with confidential matters.  
  • Key Responsibilities  1. Ability to work in a fast paced, ever changing environment and to effectively handle multiple priorities with a calm, professional and willing attitude 2. Ability to answer phones professionally, field phone calls, address issues or redirect as appropriate, and distribute messages in a timely and appropriate manner 3. Team Travel arrangements of flights, car, visa, hotel, insurance, etc. 4. Logistics and visa support to visitors and relocation assistance to new joiners 5. Efficient organization of appointments/ meeting rooms/venue confirmations, events etc. with no conflicts and on time attendance 6. Ensure that all follow-up action and being proactive. 7. Process invoices and expense claims for team members timely. Ensure all policies are followed and items are processed within provided guidelines. 8. Open to taking on increased and/or new responsibilities at any time 9. Assist with overflow, special projects, assistant back-up coverage and day-to-day tasks  
  • Education & Experience Essential:Graduate 
  • Minimum of 2+ years' experience in an Administrative Assistant role Should have Basic Knowledge of Outlook emails & calendar Good command of English - both written and spoken.  Good to Have:Strong knowledge of Microsoft applications such as Outlook, Word, Excel and PowerPoint Knowledge of general office procedures (e.g., scheduling, expenses, calendar management) Knowledge of Travel related bookings flight tickets, visa, cabs, etc.Experience in a EA and General Administration role involving professionalism, confidentiality, dedication and with excellent communication and people kills, self-motivation, enthusiasm and initiative  
  • Competencies:   Adaptable team player  Good problem-solving ability, result oriented and self-motivated. Effective interpersonal skills Excellent telephone etiquette Superior oral and written communication skills Tact and good judgment in confidential situations and proven experience interacting with senior management Ability to adapt procedures, processes and techniques to the completion of assignments

Experience: 2+yrs

Role: Admin Executive

Working Days: Monday to Friday

Office Timings: 9:00 am to 6:00pm

Job Location: - Bandra Kurla Complex

Tenure 1yr contract (May be extended based on performance)
